What should I expect at the conference venue?
SEVPAC is held at the UGA Tifton Campus Conference Center. As with many conference venues, environmental conditions and amenities may vary. Room temperatures can be unpredictable and may feel cool or warm depending on seat location and time of day. We recommend bringing a jacket, sweater, or layers that can be easily added or removed.

Electrical outlets are limited in the conference room. Please plan accordingly if you plan to use an electronic device.

Wi-Fi is available at the conference center.

Is the conference center easily accessible?
Yes, the conference center is easily accessible from I-75 (exit 64). Parking is along the rear of the building. Please look for SEVPAC signs to direct you to the parking lot. Plan to arrive at least 30 minutes before the first scheduled session to allow time for check-in, seating, and announcements.
If you have specific accessibility needs, please contact the organizers in advance. A private lactation room can be made available for attendees.

Is food provided?
There are refreshment breaks throughout the first day of the conference. On Friday, an optional lunch is provided (for additional cost at registration).
Friday dinner is included in the cost of registration and is held at UGA Black Shank Pavilion.
Some beverage and food options may be limited, so please plan accordingly if you have special dietary requirements.

Why are presentations limited?
SEVPAC is structured to include approximately 75 case presentations, each allotted 6 minutes, resulting in an intensive and fast-paced scientific program. This format allows broad participation while maintaining momentum and audience engagement.

To ensure the conference concludes in a timely fashion, presentations must necessarily be limited. This schedule strives to balance inclusion without imposing excessive fatigue on presenters or attendees.

What happens when case presentation slots are full?
Due to time constraints, not all submitted cases can be accommodated each year. A waitlist option is available after presentation slots are filled. We strongly encourage resubmission of high-quality cases for future meetings and value the continued engagement of all contributors.

Is there any flexibility on the two-slide requirement?
No, two glass slides are required for each submitted case to ensure proper handling, archiving, and contingency. One slide is retained as part of the conference storage set, and a second slide is required in case one is damaged.

Although SEVPAC now uses digital scans for presentation, glass slides remain essential. For historical context, prior to the transition to digital scans, case submission required 100 glass slides per case.

Why is SEVPAC held in Tifton, Georgia?
SEVPAC has a long-standing home in Tifton, Georgia. This location is a deliberate and integral part of the meeting's success, providing a reliable, affordable, and logistically manageable venue that supports the conference's mission. Rotating the meeting to other cities would significantly increase cost, complexity, and administrative burden, jeopardizing both the sustainability of the conference and reasonable registration fees.

Do you accept donations or sponsors?
Yes! SEVPAC is a registered non-profit corporation with 501(c)6 status pending. Please contact the conference organizers if you are interested in donating or becoming a conference sponsor.
